The NDPHC organization operates across multiple warehouse locations in Nigeria, however the current internal management process relies heavily on outdated manual methods, such as Excel spreadsheets and physical letters. This approach has resulted in workflow inefficiencies, poor traceability of purchase orders, lack of real-time inventory updates, and delays in inter-warehouse transfers. This disjointed system has become a bottleneck in operations.

UX Solution: Why It Works
UX Solution: Why It Works
To address these challenges, we are developing a centralized, user-friendly internal portal. This digital platform will streamline workflows for purchase order creation, approval, inventory management, and reporting. The solution supports role-based access (Admin, Staff Level 1, Staff Level 2), provide real-time updates, and ensure data security and traceability, ultimately improving operational efficiency and transparency.

Design and Research Process
Once we had outlined the objectives and defined the overall scope of the project, we gathered enough requirements to kick off the first sprint. We started by conducting user research to validate user pain points and brainstorm UX solutions with the rest of the team. I proceeded to mapping out the information architecture, personas, user flow and wireframes , focusing solely on the navigation, ease of use, before proceeding to Hi-Fi designs and usability testing.

Being an MVP, we kept it simple, only showing users what they need:
The central hub where users can initiate new purchase order requests and view all existing requests in one place.
A real-time tracking page that allows users to monitor the status and progress of their submitted orders from creation to approval (by admin) and fulfillment. It also contains a detailed view showing all information about a specific order, including items requested, approval history, status updates, and related documents.

A comprehensive overview displaying current inventory levels, stock alerts, and summaries of items across all warehouses. As well as detailed pages for each inventory item, including stock history, movement logs, and current availability in different locations.

Analytics & Reports
An interactive overview that provides visual insights into key operational metrics, trends, and performance indicators across the organization. The Reports are organized by category such as inventory, request orders, storage and performance. This categorization was done to enable users to quickly find and review data relevant to specific functions such as inventory, orders, or staff activities. Also, a guided interface that allows users to generate customized reports by selecting specific data fields, time ranges, and categories.

A simple form that enables authorized personnel to onboard new staff members, assign roles, and grant appropriate system access.

While the project is still in alpha testing, our focus on users has already made a noticeable difference. The new internal management platform has improved work efficiency, transparency in transactions and cut down on processing times, which is great news for NDPHC’s business potential. Through user testing and regular updates based on feedback, there's been rapid adoption, putting us on track for a successful launch and continued growth.

What I learned
I learnt something in this process: I realized that users often don’t know all the features they need until they actually use a working product. This shows how important it is to do thorough user research before building an MVP and then improve the product based on real feedback to better meet their needs.
